  • Overview

    This position will provide administrative support to the marketing team consisting of 14 team members ranging from SVP to coordinator.

     

    The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible, and enjoy the administrative challenges of a fast-paced marketing team.

     

    Excellent interpersonal skills with the ability to interact with staff (at all levels) inside and outside the organization are critical.  Being extremely proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role.

    Responsibilities

    • Ensure that various administrative tasks are done in an effective and efficient manner, including copying, reviewing outside mail, managing website inquires, coordinating meetings and certain group events (to include logistical and technical needs), and drafting correspondence
    • Manage submission and routing of invoices including management of department credit card and invoice generation for billbacks
    • Invoice payment follow-up with A/P and vendors
    • Assist in preparing corporate marketing budgets and expense reports
    • Track department budgetary variances using Yardi (provide monthly reports to Senior Vice President for review)
    • Track memberships and sponsorships for the department
    • Stock and order supplies for the team. Keep the marketing area organized and printers stocked with paper
    • Obtain mastery of the Delegation of Authority policy to ensure invoices and contracts for approval are routed properly
    • Monitor shared network drives and create shared and manage, efficient network directories
    • Assist with managing schedule for Senior Vice President; be proactive in resolving scheduling conflicts days in advance
    • Ensure teams have conference rooms set up in advance of meetings (e.g., if applicable: A/V set-up, food and drink, etc.)
    • Team events/birthdays/celebrations coordination
    • Marketing closet maintenance, inventory and organization
    • RSVP management for various events

    Qualifications

    • Demonstrates ability to handle confidential information appropriately.

    • Proven ability to work independently to achieve accomplishments.

    • Commitment to meeting deadlines, with the understanding that certain instances will require working outside normal business hours.

     

    EDUCATION and/or EXPERIENCE

    • Minimum of 3 years of administrative experience in a high intensity Corporate environment required; Commercial real estate department support preferred.
    • Strong knowledge of Microsoft Office, including Word, Outlook, Excel, PowerPoint.
    • Yardi experience is a plus.
