Overview

The Payroll Manager will be responsible for total oversight and maintenance of the Company’s payroll function. This position will focus on monitoring, managing and reviewing all payroll-related transactions at an entity with a complex organizational structure and an outsourced payroll function. Additional responsibilities will include developing and managing policies, reporting company-wide payroll activities and ensuring compliance with internal controls.

Responsibilities

Critical Projects:

  • Key role in the implementation of UltiPro payroll software
  • Manage newly outsourced payroll provider with the potential to bring payroll function in-house in the future

Essential Duties and Responsibilities:  

  • Develop, implement, monitor and evaluate appropriate payroll policies, controls and system enhancements to increase efficiency, ensure consistent and effective customer service, safeguard company assets, and ensure compliance with internal policies and controls, as well as SOX and other statutory requirements
  • Oversee the updating of payroll records by reviewing and approving changes (including exemptions, insurance coverage, savings deductions, job titles, and department/ division transfers)
  • Maintain payroll information by designing systems and directing the collection, calculation, and entering of data
  • Prepare payroll-related journal entries and reconciliations to payroll reports to verify the completeness and accuracy of payroll expense. Resolve discrepancies as needed. Review transactions, account reconciliations, and reports prepared by outsourced provider for accuracy and completeness.
  • Pay employees by directing the production and issuance of paychecks or electronic transfers to bank accounts
  • Critically review and analyze current payroll, benefits, garnishment, and tax procedures to recommend and implement changes leading to best-practice operations
  • Interpret and apply company policies and procedures and federal, state and local employment laws and regulations, as well as ensure adherence to and communication of accounting policies and procedures. Maintain payroll guidelines by writing and updating policies and procedures.
  • Comply with federal, state, and local legal requirements by keeping up-to-date on existing and new legislation, enforcing adherence to requirements, and advising management on needed actions
  • Work closely with Human Resources and other departments to ensure data integrity and operational efficiency
  • Serve as in-house point of contact for approximately 1,000 employees
  • Maintain employee confidence and protect payroll operations by keeping information confidential

Qualifications

  • Must be a critical thinker and self-starter with the demonstrated ability to research, recommend and implement solutions effectively
  • Operates with a sense of urgency and must be able to stay organized in a fast-paced, time-sensitive environment with demonstrated ability to juggle multiple competing tasks and demands
  • Experience with employee benefit programs, multistate payroll tax laws and multi-company organizations is preferred
  • Experience with collective bargaining agreements and unions a plus
  • Possess and apply knowledge of accounting and payroll principles and practices to the completion of complex assignments
  • Excellent communication and problem-solving skills, strong organizational and analytical skills, attention to detail, and ability to work independently
  • Ability to handle sensitive and confidential information with discretion
  • Strong written, verbal communication and interpersonal skills with the ability to work in a cohesive team
  • Advanced skills in Microsoft Excel, Outlook, and Word desired

Education/Training/Experience:

  • A BA/BS, preferably in Finance, Accounting, or other business discipline or equivalent experience
  • More than eight years of experience in a professional payroll environment, with at least five years of supervisory or project management. Experience working for a public company preferred.
  • Certified Payroll Professionals are highly encouraged to apply.
  • Recent experience with Ultipro and Yardi is a plus
